We’re Looking For A(n): Executive Assistant

Location: Onsite (Burbank/North Hollywood, CA)

What You’ll Be Doing: The Executive Assistant will serve as the executive’s right hand, increasing their effective capacity by organizing time, attention, commitments, information, and the working environment around the highest-value priorities. This role will provide traditional executive support across calendar management, scheduling, travel, meeting preparation, coordination, and follow-through, while also taking broad ownership of the day-to-day operation of a new office and studio.

This is a highly proactive, ownership-oriented role responsible for creating structure where it does not yet exist, building repeatable processes, coordinating people and projects through changing information, and continuously reducing operational friction. The role will also leverage technology, AI, and automation to make work faster, more reliable, and less dependent on manual effort or individual memory.

The scope of the role will evolve over time. The expectation is that the Executive Assistant will anticipate needs, exercise independent judgment, identify and resolve issues, and build systems that allow the executive and broader operation to function more effectively with less direct intervention.

-Manage the executive’s calendar, priorities, scheduling, travel, and logistics.
- Prepare for meetings and ensure decisions, commitments, and open items are tracked through completion.
- Coordinate internal and external communications, meetings, people, and projects on behalf of the executive.
- Manage day-to-day office and studio operations, ensuring the environment is organized, functional, and ready to support ongoing business activities.
- Support the development and buildout of the new office and studio, including vendors, timelines, logistics, technology, physical-space needs, and other operational requirements.
- Select, coordinate, and manage vendors and external partners as needed.
- Oversee office supplies, equipment, technology, and recurring operational needs.
- Coordinate guest, meeting, and other office/studio logistics.
- Build and maintain workflows, checklists, documentation, and operating processes where needed.
- Identify recurring operational friction and address the underlying process rather than repeatedly solving the same issue.
- Maintain systems for information, documents, contacts, decisions, and follow-up.
Use AI, automation, and other technology to simplify repetitive, information-heavy, or rules-based work.
- Ensure decisions are translated into action and that actions are completed.
- Identify what requires executive attention versus what can be handled independently, escalating appropriately when needed.
- Take on additional responsibilities as the needs of the executive, office, and studio evolve.

- High processing speed and ability to synthesize fragmented information from multiple sources into clear priorities, decisions, and actions.
- Ability to manage competing priorities and adapt quickly as needs and circumstances change.
- Strong communication and coordination skills, with the ability to work effectively across people, teams, vendors, and external partners.
- Comfortable providing and receiving direct feedback, challenging priorities when appropriate, and surfacing contradictions or issues.
- Strong discretion and judgment when handling sensitive business and personal information.
- Service-oriented, practical, and persistent, without being passive or overly dependent on direction.
- Comfortable experimenting with modern technology, AI tools, automation, and custom workflows to improve efficiency and reliability.
- Ambitious and curious, with an interest in learning how the broader business operates and taking on increasing responsibility over time.

Required Experience: 2+ years of experience as an Executive Assistant or a related role
