Key Responsibilities:

• Warmly welcome patients and guests; manage check-in, check-out, appointment flow, and communication between patients, clinicians, and clinic leadership.

• Manage multi-line phones, voicemail, email, and patient messaging with professionalism, accuracy, and prompt follow-through.

• Schedule, confirm, reschedule, and coordinate appointments while optimizing clinician schedules, device/room utilization, and clinic efficiency.

• Maintain accurate patient demographic, medical, consent, and appointment information within the electronic medical record and other operational platforms.

• Collect payments, process deposits and refunds, provide receipts, and ensure accurate completion of daily financial and point-of-sale transactions.

• Provide approved, standardized information regarding clinic services, treatment preparation, general recovery expectations, memberships, packages, and Lancer Skincare products; do not make individualized medical, skincare, or treatment recommendations unless specifically directed by a licensed clinician.

• Coordinate patient arrivals, treatment-room readiness, clinician timing, and post-treatment checkout to ensure a seamless transition between front-of-house hospitality and clinical care.

• Protect patient confidentiality and ensure all communications, records, and transactions comply with HIPAA requirements and clinic policies.

Medical Assistant & Clinical Support

• Assist the Medical Director and Aesthetics Nurse Practitioner with aesthetic consultations, treatments, and procedures under the direction and supervision of the clinical team.

• Prepare treatment rooms, supplies, and equipment for aesthetic procedures; follow all sanitation, disinfection, sterilization, infection-prevention, and safety protocols.

• Complete assigned patient intake responsibilities, including medication and allergy reconciliation, relevant medical-history updates, vital signs, and documentation within the medical record.

• Capture consistent, standardized before-and-after clinical photography and assist with approved skin-imaging or diagnostic-mapping systems.

• Assist with skin preparation, application of topical anesthetic agents, patient positioning, comfort measures, and other delegated clinical duties within the individual’s training and permitted scope.

• Review clinician-approved pre-treatment and post-treatment instructions with patients; promptly refer clinical questions or concerns to the appropriate licensed clinician.

• Monitor patient comfort during procedures and communicate any change in condition, unexpected response, or safety concern to the treating clinician immediately.

• Clean and reset treatment rooms between patients; maintain a pristine, organized, and inspection-ready clinical environment.

• Track clinical, administrative, retail, and skincare inventory; assist with ordering, receiving, stocking, expiration-date monitoring, and inventory reconciliation.

• Support follow-up communications, record requests, consent completion, treatment documentation, and other administrative or clinical workflows as directed.
General Clinic Support

• Support clinic events, patient-education initiatives, product launches, VIP visits, and other operational needs while maintaining the clinic’s standards of professionalism and discretion.

• Adapt to new technologies, services, protocols, scheduling procedures, and operational systems as the clinic evolves.

• Collaborate closely with clinicians, leadership, hospitality teams, and other staff members to maintain efficient and consistent patient care.

• Perform other administrative and clinical duties as assigned; remain prepared to transition smoothly between front desk and medical-assisting responsibilities based on daily clinic needs.

Qualifications
• Current national Medical Assistant certification, such as CMA, RMA, or CCMA, or another credential approved by Wynn Resorts and clinic leadership; certification must remain active throughout employment.

• Current Basic Life Support certification.

• Must be able to obtain a Health Card from the Southern Nevada Health District.

• Minimum of two years of experience in medical aesthetics, dermatology, plastic surgery, cosmetic medicine, or a comparable luxury healthcare environment; direct experience with both patient-access/front-office workflows and clinical support is strongly preferred.

• Demonstrated experience with patient scheduling, telephone management, check-in and check-out, payment processing, medical records, and clinical room support.

• Strong proficiency with electronic medical record systems, scheduling software, point-of-sale platforms, Microsoft Office, and other clinic-management technologies.
